THE ELECTRONIC
FILING CABINET
MACTEC Federal Programs, Inc.
developed the Document Archive and Retrieval Technology (DART)
to allow organizations to easily convert large amounts of paper and
other hardcopy documents into an organized electronic filing cabinet
that provides sophisticated information retrieval capabilities with an
integrated, intuitive, easy to use interface. System versions can be
created that allow the information to be accessed from a CD-ROM based
desktop system or an Internet-hosted information repository. DART
is an open architecture system that uses non-proprietary industry
standard software and file formats such as the Adobe Portable Document
Format (PDF) files and the freely available Adobe Acrobat Reader. The
design of DART easily
allows the creation of systems to provide solutions for any document
archival need from administrative record (AR) to material safety data
sheets (MSDS) to environmental permits.
The basic DART
process consists of scanning documents or microfiche into Adobe PDF
files. The PDF files are then "captured" using the Adobe
Acrobat software to allow them to be "text" searched. Each
document’s table of contents is linked to its corresponding place
within the PDF file. Index information, such as, Title, Author, Date,
etc. is entered into the DART
database and linked to the corresponding PDF file. For those
applications that have documents related to specific geographic areas
within a facility or military installation, the DART
system includes searches based on selections from an on-line map.
Implementation
options include:
 |
Converting hardcopy
(paper) documents, microfiche and large maps |
 |
Scanning, loading
and indexing the original documents |
 |
Integrating existing
PDF files into DART |
 |
